AI Saved Me 1 Day Per Week, I Now Have Time For Deep Work

ai founder Nov 03, 2025

In September 2023, I started from scratch.

No business, no team—just a coaching qualification and a few ideas. Nine months into this journey, I'm busy with multiple coaching and consulting clients. Some of my ideas are beginning to sprout, and now I’m focused on scaling efficiently, leveraging my strengths, and outsourcing my weaknesses.

Here’s how I’ve optimised my workflow in three key areas:

1. Systems

I’ve streamlined my operations with a suite of powerful apps that have removed several layers of complexity. My daily stack now includes:

  • Notion
  • Kajabi
  • Beehiiv
  • Calendly
  • DocuSign
  • Canva
  • Feedly
  • Zoom
  • Xero
  • Fathom
  • Zapier (to integrate everything seamlessly)

2. People

I’ve brought in an amazing lady to help with social media, especially content creation on TikTok—an area I found quite challenging. Shout out to Michaella Fenton for her patience and expertise!

3. AI

AI has been a game changer. Many of the systems I use incorporate AI, but I’ve gone further by auditing my time and rethinking my approach. OpenAI’s ChatGPT, in particular, has been invaluable. I’ve developed specific GPTs for various tasks and clients, enhancing efficiency across the board.

AI is here to stay, and I’ve been ramping up my understanding and usage of this technology.

Below are some use cases and insights, particularly with FMCG businesses in mind:

Optimising Supply Chain Management

AI boosts supply chain efficiency through:

  • Demand Forecasting: Predicts customer demand using historical sales data, market trends, and weather forecasts, maintaining optimal inventory levels and reducing waste.
  • Supply Chain Automation: Streamlines logistics, ensuring faster, more efficient deliveries.

Enhancing Customer Experience

AI creates personalised and impactful customer interactions:

  • Personalised Marketing: Analyses customer data to provide tailored product recommendations and targeted marketing campaigns.
  • Chatbots and Virtual Assistants: Offer 24/7 customer support, handling inquiries and assisting with purchases.

Product Development and Innovation

AI accelerates innovation by turning customer insights into actionable strategies:

  • Sentiment Analysis: Gauges public sentiment from social media and reviews, guiding product development.
  • Predictive Analytics: Predicts successful product launches based on market conditions and historical data.

Efficient Pricing Strategies

AI optimizes pricing strategies:

  • Dynamic Pricing: Adjusts prices in real-time based on demand and competition, maximising profits.
  • Price Optimisation: Determines the best price points by analysing sales data and customer behaviour.

Improving Marketing

AI ensures effective marketing:

  • Copywriting: Great for ideas, refinement, and fact-checking. Remember to maintain your unique tone and character.
  • Campaign Optimisation: Analyses marketing campaign performance in real-time, allowing for quick adjustments.
  • Customer Segmentation: Segments your audience based on behaviour and preferences, enabling targeted campaigns.

Streamlining Operations

AI streamlines operations for efficiency:

  • Quality Control: Monitors product quality on production lines, ensuring consistency.
  • Predictive Maintenance: Schedules proactive maintenance, reducing downtime and saving costs.
  • Meeting Notes: A game changer for me—providing accurate, summarized, action-oriented notes, as well as full transcripts and recordings.

I’ve developed a simple three-step process for auditing your business or personal operations to identify how AI can help.

Let me know if you’d like me to create a guide outlining how to implement this.
